Dear Payroll Managers and Timekeepers,

As part of the transition from Kronos Workforce Central (WFC) to UKG Pro Workforce Management (WFM), we want to inform you of an important change regarding badge numbers used at time clocks.

Badge Number Changes in WFM

  • In WFC, badge numbers were based on either the EMPLID or the PERM#.
  • In WFM, only the full 8-digit EMPLID will be accepted as the badge number.
  • PERM#s will no longer work with timeclocks in the new system.


What This Means for Timeclock Users Effective May 11th

  • Swipe Functionality: Employees can swipe their badge only if the magnetic stripe is already encoded with their EMPLID.
  • Manual Entry: If their badge is still encoded with a PERM# employees can manually enter their full EMPLID on the time clock to record time.


Action Required for Affected Employees

  • Employee badges using a PERM# must visit the Access Desk in the UCen to have their card’s mag stripe re-encoded with their EMPLID. 

⚠️ Note: A new access card is not required—only the magnetic stripe needs to be updated.

  • If a badge is re-encoded before Friday, May 9, and the employee still needs to swipe at a timeclock in WFC, the department must:
    • Update the employee’s badge number in the Kronos People Editor:
      • Go to Job Assignment tab → Timekeeper section
      • Enter the last 7 digits of the EMPLID, including leading zeros

Please review the attached list and coordinate with affected employees to ensure their cards are updated.
