Dear Payroll Managers and Timekeepers,

We have implemented system updates effective today, September 25, 2025, aimed at refining manager visibility and streamlining timecard approval workflows in our time and attendance system. These updates are designed to better align system defaults with actual management structures and practices, reducing unnecessary steps and improving efficiency.

Key Updates Implemented

Default HyperFind Queries for Manager Dataviews
We modified the default HyperFind queries (HFQ) used in manager dataviews to better support the “UCSB Reports To” structure wherever applicable.

What changed:

  • Managers will primarily see only their active direct reports by default.
  • Terminated employees and those reporting to subordinate managers will no longer appear.
  • This change applies across most manager-facing dataviews and approval tiles.
  • Exceptions remain for certain dataviews, such as:
    • All BW HFQ – Still used where appropriate (e.g., viewing comments, schedules).
    • Pay Period Close Dataview – Tailored differently for Managers vs. Timekeepers/Payroll Managers.

These changes stem from lessons learned since initial project implementation, when campus-wide knowledge of system visibility settings was limited. Standardizing these defaults will improve the overall manager experience.

Manager Approval Notifications
We adjusted the manager timecard approval notification logic to focus solely on direct reports (not the full organizational hierarchy).

What this means:

  • Notifications will only trigger for timecards that the manager should directly act on.
  • Employees with terminated assignments and those reporting to subordinate managers will no longer be included.
  • This change helps managers focus on relevant approvals and reduces confusion around employee lists.

Managing Terminated Assignments

If your department continues to encounter visibility issues involving terminated assignments for shared employees, we recommend removing the “Reports To” Manager value from the terminated assignment. This ensures the employee no longer appears in the manager's view.
