Dear Payroll Managers & Timekeepers,

We are providing you with information and a template to collect data needed for the next monthly upload, pay period ending 12/31/2021.  We are asking departments to:

  • Establish internal procedures for monthly-hourly employees to communicate daily hours.
  • Use the template provided to submit the data for your department.
  • Do not reorder any columns in the template provided to ensure compatibility with UCPath.

For monthly PPE 12/31/2021

Completed template is due no later than Noon on Monday, December 20, 2021.

Download template (20211231 PPE-MO_DEPT template.xlsx) and rename, replacing DEPT with your department code or business unit designation.  This spreadsheet has only 1 tab for all time data to report.

Monthly-hourly employees:  Date range 11/11/2021 - 12/10/2021.

We do not have any reports from Kronos for this population, so you're starting from scratch.

  1. All time data needs to be reported in daily increments:
    a. Employee ID #, EMPL Record #, and Position # (columns C-E) must match the data in UCPath for the employee to prevent errors.  To avoid typos, copy/paste from UCPath.
    b. Dates must be in the designated format:  MMDDYYYY (no dashes or slashes!!)
        i. Pay Period End Date:  12312021
       ii. Earns Begin Date and Earns End Date:  Same date in both fields corresponding to the day for the hours.
    c. Select the Kronos Pay Code from the drop-down list.  The most frequently used are at the top.
    d. Hours is the daily amount in quarter-hour increments.  Do not enter zeros.
  2. Upload your completed template to folder 20211231 Monthly by the deadline.

Monthly-salaried employees:  Date range 11/1/2021 - 11/30/2021.

We are not uploading leave taken in November at this time as this does not impact pay for this population. Only provide Leave No Sal hours in November for employees on intermittent leave that need their pay reduced on the spreadsheet.

As a note, monthly and biweekly data cannot be combined or errors will occur when uploaded to UCPath.
