Dear Payroll Managers & Timekeepers,

Below is the information for the BW upload for PPE 12/11/2021.

There are 3 files to review for the upload.

DO NOT move any columns around in the spreadsheet. Data is formatted specifically for UCPath!!

Employees on a Leave of Absence have been excluded from these files and will be handled separately with the Leave Administration team.

As noted above, the Paid Overtime file review is to be done by 11:00 am, this file will take the most time to translate to UCPath Pay Codes, so the Kronos Administrators will need extra time to work with the file.

Tips for working in shared Google Sheets:

  • Do not turn on filters if possible.  This can affect the view for others.  Instead, use find to get to your department code(s).  The spreadsheets are sorted by department code followed by employee name.
  • Some Columns in the sheet are intentionally locked, the columns which require input are Column G (DO NOT UPLOAD) and Column L (Hours).


We are asking Payroll Managers and Timekeepers to review the hours for your department (to the best of your knowledge). Pay special attention to any employees that have had actions (hired, terminated, transferred, etc) in the middle of the Pay Period to ensure the hours are prorated correctly.

As part of your review, if corrections are needed, please make them as follows:

  1. If corrections are needed for the total amount of hours, make the adjustment directly in the Hours on TC column.
    1. Paid Overtime Hours represent the total amount of time on the timecards as of Friday before noon and have been associated with week 2 of the pay period.  These are values already calculated by Kronos.  You can increase the hours if you think some overtime is missing.
    2. FTE Based Hours are represented in 2 rows for each employee, representing week 1 and week 2 of the pay period.
    3. Casual Restricted & Academic Students Hours represent the total amount of time on the timecard as of Friday before noon and have been associated with week 1 of the pay period to avoid inactive employee errors.  These are values already calculated by kronos.  You can increase the hours if any might be missed.
  2. If a record should not be uploaded, please enter YES in the DO NOT UPLOAD column (G).
  3. If you need to add additional rows to the data, please add them to the New Rows tab of each spreadsheet.


The Kronos Administrators have already restaged Historical Correction tickets that were submitted for this upload separately.  Please do not add changes previously submitted as a Historical Correction to these files.
