Dear Payroll Managers and Timekeepers,

We have implemented a change in logic for determining an employee’s Primary Labor Account (PLA) when they have multiple jobs. The current logic is defaulting the PLA to higher-paid salaried jobs. When employees with multiple jobs fail to enter transfers, an overpayment may occur.

The new logic, outlined below, will divert the Primary Labor Account away from salaried jobs (like TA and GSR positions) to mitigate overpayments. If an employee reports time for multiple active positions, they will have a Primary Labor Account designated based on the following sequence of evaluations:

  1. The position with the lowest percentage of appointment;
    1. if all are equal, the next consideration is:
  2. The position with the earliest (oldest) begin date;
    1. if all are equal, the next consideration is:
  3. The position with the lowest pay rate;
    1. if all are equal, the final consideration is:
  4. The job number with the lowest numerical value (UCPath empl_rcd).

Departments must instruct employees on how to transfer their hours to the appropriate position when recording hours. Departments should also review each employee before signing off to ensure hours are transferred correctly.

If an employee is shared with another department, please be sure that the timecard is complete before signing off.  If an employee is shared with another department, please do not sign off too soon to ensure all departments have a chance at any timecard corrections and updates needed.  To request sign off removal, please submit a ticket.
