Dear Timekeepers and Payroll Managers,

In preparation for the transition to Workforce Management (WFM), please review the following information outlining processing adjustments for timecard entries and sign off requirements.  Payroll upload deadlines are shifting early and signing off in the current pay period will be required for some uploads.

In May, sign off deadlines for payroll uploads are:

  • Tuesday, May 6, 2025 at 2:00 pm:  
    MO-S sign off deadline for date range 4/1-4/30 followed by payroll upload to UCPath for PPE 5/31/2025

  • Friday, May 9, 2025 at 2:00 pm*:  
    BW sign off deadline for date range 4/27-5/10 followed by payroll upload to UCPath for PPE 5/10/2025
    MO-H sign off deadline for date range 4/11-5/10 followed by payroll upload to UCPath for PPE 5/31/2025

  • Tuesday, May 27, 2025 at 11:00 am:
    BW sign off deadline for PPE 5/24/2025

BW PPE 5/24/2025 is business as usual, but in the new WFM application.  All the earlier uploads in the month have a schedule adjustment, and the BW and MO-H uploads happen *before the pay periods end in timekeeping.  The Kronos Administrators will be enabling the capability to sign off the Current Pay Period in Kronos.  This capability will be available for use starting May 7, 2025 at 8:00 am until May 9, 2025 at 2:00 pm.

SPECIAL INSTRUCTIONS FOR MO-S PREPARATION:

Please inform employees and managers of the new deadline, as they have only a few business days to complete and approve timecards prior to the sign off deadline.  Departments need to ensure all monthly timecards are complete, approved, and signed off by Tuesday, May 6, 2025 at 2:00 pm.

SPECIAL INSTRUCTIONS FOR BW PREPARATION:

Departments need to ensure all biweekly timecards are complete, approved, and signed off for the entire pay period (4/27-5/10) by Friday, May 9, 2025 at 2:00 pm.

Hours need to be forecasted for employees who work on the last two days of the pay period (5/9 and 5/10).  Forecasted hours will need to be reconciled afterwards and any adjustments needed can be requested through an Historical Correction ticket.  

  • If an employee punches for time entry:  we recommend that they do not punch on these final two days of the pay period.  Their manager should enter the forecasted hours on the timecard prior to Friday, 5/9.  The employee should track their actuals and notify their department if adjustments are needed.
  • If an employee does not punch:  the employee should enter the forecasted Hours Worked on their timecard prior to Friday, 5/9, track their actuals, and notify their department if adjustments are needed.

Department Payroll Managers need to sign off biweekly timecards through 5/10 by Friday, May 9, 2025 at 2:00 pm.

  1. In Pay Period Close, be sure to switch the default date reference from Previous Pay Period to Current Pay Period.
  2. Review and sign off timecards from genie or timecard.
  3. Important!  Refresh Pay Period Close for Current Pay Period and review sign off column to ensure check mark indicators are present.

Any biweekly timecards NOT signed off will result in missed pay.

Departments need to ensure all monthly-hourly timecards are complete, approved, and signed off for the entire pay period (4/11-5/10) by Friday, May 9, 2025 at 2:00 pm.

RECONCILING BW AND MO-H TIMECARDS

Determine if any employees require corrections for the forecasted hours on 5/9 and 5/10, and submit a Kronos Timekeeping Historical Correction ticket.  Corrections will be processed in the next scheduled upload.
