Dear Payroll Managers and Timekeepers,

We are pleased to announce that the Kronos application and time clocks are back online as of 3:00 PM today! 

Please read carefully the following recommendations for different employee types and timekeeping scenarios to prepare for upcoming payroll uploads.

Monthly-hourly employees
MO-H employees should enter time data into their timecard for the previous Pay Period (12/11/2021 to 1/10/2022). This timecard data will be uploaded to UCPath on Friday, January 21.

Monthly-salaried employees
MO-S employees should enter their leave taken for November and December if this wasn’t already done. This timecard data will be uploaded to UCPath on Friday, January 21. 

Biweekly-hourly employees
BW-H employees should enter time data into their timecard for the current Pay Period (1/9/2022 to 1/22/2022). This timecard data will be uploaded to UCPath on Tuesday, January 25.

Pay cycle changes
The Kronos Administrators are currently reviewing pay cycle changes (BW to MO or vice versa) that occurred during the outage. If needed, we will open a ticket on behalf of department Payroll Managers to provide next steps related to missed pay, and Kronos configuration updates. If you have any questions about a past, pending, or upcoming cycle change, please submit a ticket. 

Reconciliation and Historical corrections
During the outage period (biweekly PPEs 12/11/2021, 12/25/2021, and 1/8/2022), it is expected that timecards will be incomplete or incorrect. UCPath is the system of record for payroll. Employees should be encouraged to review their paychecks and escalate any discrepancies to you for resolution. If corrections can wait for the next on-cycle processing window, submit a Kronos Timekeeping ticket for a Historical Correction.  If corrections cannot wait, submit an Off-Cycle Payment Request ticket with BFS. Please note: requests for the purpose of making a timecard “look” correct will not be processed.

For a breakdown of hours paid during the outage period, Department Payroll Managers can access the UCPath screen Review Paycheck Summary (PeopleSoft Menu > Payroll for North America > Payroll Processing USA > Produce Payroll > Review Paycheck Summary).

For biweekly pay period 11/28/2021 - 12/11/2021
As described in the 1/10/2022 memo, leave taken was not uploaded for this pay period except for employees on a FMLA or PFCB leave managed through HR Leave Administration. We will be sending detailed instructions for swapping regular hours for leave hours soon. Kronos already had data entered in this timeframe and we will start with that data to save departments some effort. Please do not submit tickets for this activity yet.

Accrual imports
The next scheduled imports of accrual balances will be:

  • January 18 for biweekly employees
  • February 1 for monthly employees

Email address field was affected by the outage
In order to prevent the application from sending emails during the outage, Kronos scrambled existing email addresses. For active employees that previously had email addresses entered, we have imported the primary email address listed in Identity for each employee. (This is also labeled as the “business email” in UCPath.)  If the imported email is not correct, departments can update it for their employees in Kronos by following these instructions.
