Dear Timekeepers and Payroll Managers,

Please reference the following information for timecard entries for monthly-salaried employees during winter holiday curtailment.  This does not pertain to biweekly employees as this timeframe was addressed in department-submitted spreadsheets.

CURTAILMENT PROCEDURES:  MONTHLY-SALARIED ONLY

If your department had hard closure dates during the December holiday curtailment period, an employee can take leave no salary without affecting leave accruals or borrow vacation if they have insufficient leave balances.  These options are limited to the number of days allowed per the employee’s contract.  Please reference the 2021 memo from HR for more information.

TAKING LEAVE WITHOUT SALARY:  MONTHLY-SALARIED ONLY

Either you or the employee’s manager should code all leave without salary on the employee’s timecard during the December curtailment period. For any employee wishing to take leave without salary during curtailment, specify the pay code LNS Curtailment and the quantity of hours on the timecard.  This pay code is available for use starting January 14, 2022 11:00 am until January 21, 2022 11:00 am.  Pay code LNS Curtailment does not reduce accruals, and should be limited to the number of days allowed per the employee’s contract for hard closure dates.  If an employee needs additional leave without salary, do the following:  Enter pay code Leave No Sal and the quantity of hours to reduce pay and accruals.

BORROWING VACATION:  MONTHLY-SALARIED ONLY

Electronic Timekeeping has not been modified to allow additional vacation overdrafts as most monthly-salaried employees have sufficient balances. If a monthly-salaried employee is not able to enter vacation during curtailment dates because of insufficient balances, please open an Electronic Timekeeping ticket for assistance.
