Dear Payroll Managers and Timekeepers,

On Friday, May 12 at 2:00 pm, ITS will be enabling timecard approval email notifications for biweekly students who have no hours during the pay period.

Currently, biweekly students with blank timecards are excluded from receiving approval notifications. The aim of enabling notifications is to reduce missed pay requests and increase the timeliness of pay. This change only impacts employees who are configured with biweekly student pay rules. Employees configured with monthly student pay rules will not be affected. 

Please be sure that students are configured with a valid email address in Kronos, since email addresses do not import from UCPath. 

In order to reduce the possibility of errant email notifications to students who are no longer working, we recommend that job termination dates be kept up-to-date in UCPath. We also recommend that Kronos licenses be removed in a timely manner once a student’s final pay has been processed, and they no longer need to report time for any positions in Kronos.
